How Energo LLC stopped fighting paperwork.

A Georgia low-voltage subcontractor, and the company whose owner asked us to build this in the first place.

The challenge

Energo runs the multi-vendor work-order grind that every low-voltage subcontractor knows: every PDF arrives in a different format, payroll night means reconciling hourly W2 hours against 1099 percentage splits, and invoices lag the actual work by weeks. Off-the-shelf field service tools assume you originate the work, subcontractors don’t.

What changed

Energo’s owner reached out asking us to build a system around how a subcontractor actually works, not a generic FSM tool retrofitted for the model. FieldNotch was built around that workflow: drop a vendor PDF in and every field is read off automatically, dispatch to a crew, the crew clocks in from their phone, and invoice & payroll generate automatically.

The impact

Since switching in March 2026, day-to-day admin has gone from 3–4 hours to 15–20 minutes. Invoicing that used to lag the work by three weeks now goes out the next day. And work orders from more than a dozen different vendors all flow through one system instead of a dozen browser tabs.

Questions we hear a lot.

How does the work order extraction actually work?

You drop in a PDF. Every field is read off automatically, address, scope, due dates, materials, contacts, PO numbers, into a clean work order. You review on a side-by-side screen before saving. Accuracy is 95%+ on standard vendor formats; you can correct any field in two clicks.

Do my workers need to install anything?

Optional. There's a native iOS and Android app, but the mobile web version works fine on any phone, workers just bookmark a link and log in. No app store approval needed for them to start tomorrow.

Can I auto-import from my vendor portals?

Available on Operator and Enterprise plans for supported vendors (currently PRO, OPUS, NEMIRA, Safeguard, ServiceLink). For others, drop the PDF, FieldNotch handles it. We add new vendors based on customer request.

How does payroll work with QuickBooks?

Two paths. Either export a QuickBooks-compatible CSV (included on every plan) or use the direct QuickBooks Online OAuth sync (Crew and up). Payroll calculations stay in FieldNotch; QuickBooks handles tax filing.

Is my data secure?

All data encrypted in transit and at rest. Per-tenant database isolation via Postgres row-level security. SOC 2 Type II audit in progress. We don't share data between customers, ever.

What if I just want to try it with my real data?

That's exactly what the pilot is for. Book a call, send me 5–10 of your real work order PDFs, and I'll set up a working account for you before our next conversation. 14 days to decide. No card. If it doesn't save you time in week one, it never will, and you should walk away.

Can I cancel anytime?

Yes. Month-to-month, no contracts on Starter/Crew/Operator. Cancel from your billing settings. You can export all your data on the way out, CSV, PDF, or JSON.

Who's behind FieldNotch?

I'm Ivan Stavrev, the founder. I built FieldNotch hand-in-hand with Energo LLC, a Georgia low-voltage subcontractor whose owner reached out asking for a system that fit how a sub actually works. Every feature in the product came from a real job, not a roadmap doc, and I'm still adding more as we work with new subs.
