FieldNotch is the operations platform for subcontractor businesses that take work from multiple vendors. Pull jobs in, dispatch your crew, run payroll — and notch every job from vendor PDF to paid invoice.
You don't originate work — your vendors do. Which means your day starts in five different portals, and ends with a 6-hour spreadsheet to figure out what everyone gets paid.
Every vendor sends work differently — a PDF here, an emailed Excel there, a portal download with a CAPTCHA. You retype the same address three times.
Your crew texts you every night. You text back screenshots. Half the time the address is wrong. The other half they show up without the right materials.
Hourly rates for W2s. Percentage splits for 1099s. Mileage, drive time, on-site, admin — all in different categories. Excel can't keep up, and one bad formula costs you real money.
The job is done. The photos are on someone's phone. The vendor's invoice format keeps changing. Cash is sitting in your trucks instead of your bank account.
Drop in work orders the way your vendors actually send them. FieldNotch does the rest.
Upload the PDF from any vendor — PRO, OPUS, ServPro, Safeguard, whoever. No template required.
Address, scope, required materials, vendor PO, site contact, due date — all parsed in seconds. You review and confirm.
Assign one or more workers. They get an instant in-app notification with full job details, materials list, and check-in instructions.
Workers log drive time, on-site hours, and admin tasks separately. Completion photos upload directly to the job record.
Hey Mike
Invoices go to your vendor in their format. Payroll splits drive/on-site/admin for W2s and applies vendor-specific % rules for 1099s. QuickBooks-ready CSV in one click.
Walk through every screen, from signup to your first scheduled job.
No bloat. No "marketing automation suite." Just the operations stack a subcontractor business actually runs on.
PDFs from any vendor, parsed in seconds. 14+ fields extracted automatically with 95%+ accuracy.
Drag-and-drop calendar. Assign one or many workers. See conflicts, gaps, and overtime in real time.
Free native apps for iOS and Android. Your crew sees their schedule, navigates to job sites, logs time by category, and uploads photos — all from their phone.
W2 hourly with drive/site/admin categories, plus 1099 contractor splits as a percentage of the invoice. Configurable per vendor.
Branded PDFs to your vendors. QuickBooks-compatible CSV export. Direct sync to QuickBooks Online (Crew plan and up).
Push notifications, SMS, and email. Your crew never has to ask "where am I tomorrow?" again.
Before, during, after. Geotagged. Timestamped. Attached to the job and exported with the invoice when vendors require it.
Configure different % splits per vendor and execution mode. Set once, applied to every invoice automatically.
Every change, every approval, every payout — logged with timestamp and user. Survive any vendor audit without panic.
Because they were built for businesses that originate work — residential plumbers, HVAC techs, electricians selling to homeowners. You don't do that. You take work from primes and dispatch it.

You drop in a PDF. We use a large language model to identify and extract fields — address, scope, due dates, materials, contacts, PO numbers. You review on a side-by-side screen before saving. Accuracy is 95%+ on standard vendor formats; you can correct any field in two clicks.
Optional. There's a native iOS and Android app, but the mobile web version works fine on any phone — workers just bookmark a link and log in. No app store approval needed for them to start tomorrow.
Available on Operator and Enterprise plans for supported vendors (currently PRO, OPUS, NEMIRA, Safeguard, ServiceLink). For others, drop the PDF — the AI handles it. We add new vendors based on customer request.
Two paths. Either export a QuickBooks-compatible CSV (included on every plan) or use the direct QuickBooks Online OAuth sync (Crew and up). Payroll calculations stay in FieldNotch; QuickBooks handles tax filing.
All data encrypted in transit and at rest. Per-tenant database isolation via Postgres row-level security. SOC 2 Type II audit in progress. We don't share data between customers, ever.
That's what the trial is for. Sign up, upload 5–10 real work order PDFs, and see what comes out. 14 days, no card. If it doesn't save you time in week one, it never will — and you should walk away.
Yes. Month-to-month, no contracts on Starter/Crew/Operator. Cancel from your billing settings. You can export all your data on the way out — CSV, PDF, or JSON.
FieldNotch was built by a working subcontractor who got tired of running their business in spreadsheets. We use it ourselves, every day, on real jobs. It's not a venture-backed land grab — it's a tool we needed.
14 days free. No credit card. If it doesn't pay for itself in week one, walk away.
